Mission Statement

The purpose of the Association of Electrical Utility Safety Professionals of Ontario (AEUSP) is to provide a forum for the free exchange of ideas and information among Safety Professionals at electrical utilities in Ontario, and by extension, those contracting firms supporting the electrical utilities industry. Each member is committed to the continual improvement of health, safety and environment at their respective organization by adopting best practices for injury prevention and loss control. Each member shall share their expertise with others and advocate for improvements in health, safety and environment matters of common interest.
 

Code of Conduct

AEUSP members must not use scheduled meetings or www.aeusp.com to sell and/or promote their products and/or services.

AEUSP members have the right to freedom from any and all forms of harassment and intimidation from fellow AEUSP Members and/or AEUSP guests and presenters. As such, the AEUSP prohibits all forms of harassment and intimidation and views such actions seriously.

Harassment and intimidation can arise from a broad range of physical or verbal behaviour which can include, but is not limited to, the following:

- Racial, ethnic or religious slurs

- Sexual comments, innuendos or jokes

- Displays of sexually explicit or otherwise offensive materials.

The objective of this code is to create an environment free from hostile, offensive, intimidating or harassing conduct that interferes with the rights of any AEUSP member or guest.


Terms of Reference

Membership

Membership is open to safety professionals in Ontario whose role, greater than 50%, is the promotion of health, safety and environment representing the following employers:

- Electrical utility contractors

- Electrical distribution

- Electrical transmission

- Electrical generation

Subject to approval by the AEUSP Executive, membership may be extended to safety professionals from other organizations with a similar focus.

The Electrical & Utilities Safety Association (E&USA) is a regular member.

Members are entitled to invite a guest to attend all or part of each meeting. Members may arrange for an alternate to represent their organization at meetings as required.

Membership Fees 

Membership fees will be collected in an amount and at a frequency established from time to time by the AEUSP to fund expenses deemed necessary by the members. The 2009 annual membership fee is $200.00 per member organization.

Executive

The AEUSP Executive will consist of the Chair, Vice-Chair, Past Chair, and Treasurer. The Chair, Vice-Chair and Treasurer shall be selected from the membership. The term of office for each of these positions will be two years, except for the position of Treasurer, which will be replaced as required. The Vice-Chair will normally succeed the Chair.

Nominations for the position of Vice–Chair, and Chair if required, shall take place at the third quarter meeting in the Chair's second year, with elections following at the fourth quarter meeting. When an elected position is vacated before the end of the normal term, it shall be filled by appointment by the membership.

The Signing Officers for the Association shall be the Chair, Vice Chair, Past Chair, and the Treasurer.

Meetings

The AEUSP shall meet four times per year, once each quarter, typically on the first Monday of the month. Meetings may be hosted by one or more members, with the exception of the second quarter meeting which is usually held in conjunction with the E&USA Annual General Meeting. Meeting locations will vary throughout the province to allow each member organization an opportunity to host. The host is normally responsible for all meeting expenses. AEUSP funds may be provided to offset meeting expenses, especially when an off-site facility is required for the meeting. Financial assistance provided by the AEUSP shall be based on available funds and approved by the Executive on a case-by-case basis.

Meeting Agendas

Members wishing to place an item on the agenda must advise the Chair at least 21 days before the scheduled meeting. Additional agenda items may be considered after that date up to and including the day of the meeting at the discretion of the Chair.

Meeting Minutes

The Meeting Host shall ensure that meeting minutes are recorded, prepared and forwarded to the Chair for review and distribution. Minutes should be distributed to all members no later than 21 days after the meeting.

Charitable Donations

When funds permit, the AEUSP will make a charitable donation for employees of member organizations who are seriously or fatally injured while at work.

The AEUSP will send flowers or make a charitable donation in the event of the death of an immediate family member, spouse or child, of an active AEUSP member.

The amount of charitable donations provided will be determined on a case-by-case basis by the AEUSP Executive, with consensus of the membership.

Website

The AEUSP shall maintain a website for the benefit of the membership. The website shall provide a secure location for the storage of AEUSP records, information and communications between members. The AEUSP will reimburse the Website Moderator, as indicated in the signed Agreement of Services, in return for services related to the maintenance and operation of the AEUSP Website, at the first quarter meeting each year.

Changes to the Association

Decisions affecting Association affairs will be made by consensus.

Annual Review

This Mission Statement, Code of Conduct and Terms of Reference will be reviewed at the AEUSP first quarter meeting each year.

  • Coordinates all meetings of the AEUSP

  • Reviews and distributes meeting minutes.
     
  • Makes any decisions required to help the AEUSP run smoothly
     
  • Acts as Signing Officer for the AEUSP

Vice-Chair

  • Maintains the AEUSP membership list
     
  • Collects AEUSP Flash Reports from members and distributes them electronically to the membership in the month following the meeting.
     
  • Fills in for the Chair when required
     
  • Acts as Signing Officer for the AEUSP

Past Chair

  • Acts as Signing Officer for the AEUSP
     
  • Fills in for the Chair when required

Treasurer

  • Collects membership fees and maintains a bank account for the management of the AEUSP funds
     
  • Issues cheques as required
     
  • Provides a Treasurer’s Report to the members at each meeting
     
  • Acts as Signing Officer for the AEUSP.

Website Contract/Moderator

  • Develops and maintains a secure website for the AEUSP (www.aeusp.com)
     
  • Works with the Chair to ensure member access to the AEUSP website
     
  • Trains the membership on website matters as required

Meeting Host

  • Coordinates meeting arrangements with the Chair
     
  • Arranges for the meeting location and catering services as required, and is responsible for all related expenses
     
  • Acts as the recording secretary to ensure that meeting minutes are accurately prepared and forwarded to the Chair for review and distribution.

PLMSC Representative

  • May be the Past Chair or may be a member appointed by the Chair with the approval of the AEUSP Executive
     
  • Represents the AEUSP on the Provincial Labour-Management Safety Committee – Electrical (PLMSC) that advises the Ontario Minister of Labour on issues affecting the electrical industry in Ontario.
     
  • Reports to the committee on these meetings

Members

  • Participate actively in AEUSP meetings by sharing information, providing agenda items and delivering or arranging presentations
     
  • Share relevant incident reports each quarter using the AEUSP Flash Report format.
